Trainer APP ("we", "us", "our") is committed to protecting the privacy of gym owners, coaches, trainers, and gym members ("you") who use our platform. This Privacy Policy explains what data we collect, why we collect it, how we use it, and your rights regarding that data.

By using Trainer APP, you consent to the practices described in this policy. If you do not agree, please do not use our Service.

Account & Identity Data
Name, email address, phone number, hashed password, and role (gym owner, coach, or member) provided during account setup or invitation.

Gym Business Data
Gym name, address, GST number, website, subscription plan, billing details, and operational settings configured by gym owners.

Member Profile Data
Member name, email, phone, date of birth, gender, height, weight, BMI, fitness level, medical notes, emergency contact, membership type, join date, and expiry date — entered by gym staff on behalf of members.

Attendance & Activity Data
Check-in/check-out timestamps, attendance status (present, absent, late), and QR scan events associated with each member visit.

Payment Records
Payment amounts, due dates, invoice numbers, payment status, and membership type. We do not store credit card or bank account numbers directly — payments are managed by gym owners and recorded manually.

Fitness & Goal Data
Daily goals, habit logs, workout plans, body progress measurements, and AI coach chat history — provided voluntarily by members through the platform.

Technical & Usage Data
IP address, browser type, device type, pages visited, session duration, and error logs — collected automatically to maintain and improve the Service.

• To provide, operate, and maintain the Trainer APP platform
• To authenticate users and manage account access
• To enable gym owners to manage their members, attendance, and payments
• To send transactional emails (invitations, password resets, payment reminders)
• To generate reports and analytics for gym owners about their business
• To power the AI Coach feature (chat history processed via third-party AI APIs)
• To detect and prevent fraud, abuse, or security incidents
• To comply with legal obligations
• To improve and develop new features of the Service

We do not sell your personal data to third parties. We do not use member data for advertising purposes.

The AI Coach feature uses the Groq API to process your chat messages and generate fitness guidance. Messages you send to the AI Coach are transmitted to Groq's servers for processing. We recommend not sharing sensitive personal or medical information through the AI Chat. Please review Groq's privacy policy for details on how they handle data.

AI chat responses are for informational purposes only and do not constitute medical or professional fitness advice.

We share your data only in the following circumstances:

• With your gym: Gym owners and assigned coaches can view member profiles, attendance, and payment records within their gym account.
• Service providers: We use trusted third-party providers for hosting (PostgreSQL database servers), email delivery, and AI processing. These providers are contractually bound to protect your data.
• Legal requirements: We may disclose data if required by law, court order, or government authority.
• Business transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred to the successor entity.

We retain your data for as long as your account is active or as needed to provide the Service. Gym owners may delete member records at any time within the platform.

Upon account termination, we retain data for up to 90 days to allow for recovery, after which it is permanently deleted from our systems. Anonymized, aggregated data may be retained indefinitely for analytics.

We implement industry-standard security measures to protect your data, including:

• Passwords stored using bcrypt hashing (never in plain text)
• HTTPS encryption for all data in transit
• Access controls limiting data access to authorized personnel
• Regular security reviews and dependency updates

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security. Please use strong, unique passwords for your account.

We use minimal cookies and browser storage (localStorage) to maintain your login session and store theme preferences. We do not use third-party advertising cookies or cross-site tracking technologies.

You can clear cookies and local storage through your browser settings, though this will log you out of the Service.

Depending on your jurisdiction, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate or incomplete data
• Deletion: Request deletion of your personal data (subject to legal retention requirements)
• Portability: Request your data in a machine-readable format
• Objection: Object to certain processing of your data

Members wishing to access or delete their data should contact their gym owner directly, as the gym owner controls member data within their account.

Trainer APP is not intended for use by individuals under the age of 13. We do not knowingly collect personal data from children under 13. If you believe a child has provided us with personal data, please contact us immediately and we will delete it.

For members between 13–18 years, a parent or guardian must provide consent before their data is entered into the platform by a gym owner.

Trainer APP is operated from India. Your data may be stored and processed on servers located in India or other countries. By using our Service, you consent to the transfer of your data to these locations. We take steps to ensure appropriate safeguards are in place for any international data transfers.

We may update this Privacy Policy from time to time. We will notify you of significant changes by posting the new policy on this page with an updated effective date. For material changes, we may also send an email notification to gym owners.

Your continued use of the Service after changes constitutes acceptance of the updated policy.
